Merging Address Books In Outlook

Microsoft Outlook is the most used email client as well as personal information manager software in the world. It incorporates with it an email manager program that helps in sending and receiving emails and a calendar application that helps in organizing your meetings. The program also has a sophisticated address book that helps in managing the contacts from different emails in an organized way.

One of the greatest advantages of the Outlook program is its ability to manage multiple email accounts simultaneously. However, the problem is that you may end up with different contact lists for each of the emails. But no need to worry, you can fix this problem easily by merging the contacts to the existing address book by using the Outlook merge feature. Follow the instructions given below to merge contacts in the Outlook client.

Instructions to Merge Address Books

  • Launch the Microsoft Outlook client by double clicking on the desktop icon of the program. If you cannot find the desktop icon, click on the Start button to launch the Start menu, then click on the All Programs option and then look for the Outlook program and click on it.
  • When the Outlook window opens, click on the File button located at the top of the program window. From the drop down menu that appears now, click on the Import and Export option to view a variety of options.
  • To import contacts to the Outlook address book, click on the option that reads Import from another program or file and then click on the Next button to continue.
  • Now you will see more options in a new window. From this new window, browse and click on the Personal Address Book option and then click on the Next button again.
  • Now the Importing Addresses wizard will start and it will guide you through the process after asking you where you would like to import the contacts from, select the location and click on the concerned link to continue with importing.
  • After you select the address book that you would like to merge with the Outlook address book, the wizard will automatically merge that address book to your existing address book.
  • After the merging process is completed, you will be able to view all the contacts in one place in your existing address book.
If you perform all the above steps carefully and in the correct order, you will be able to merge the address books in the Outlook program with ease.
